Procurement System
Zahara Integration
Zynk's Zahara integration connects Zahara purchase-to-pay software with the accounting or ERP system that owns your ledgers. Approved purchase orders, supplier invoices and goods received notes move out of Zahara, while nominal codes, tax codes, cost codes, suppliers and products move in. It suits finance and procurement teams on Sage 200, Sage 50, Business Central and similar systems.
Capabilities may differ depending on the product.
Benefits
Why businesses connect Zahara
Committed spend in the ledger
Approved purchase orders export from Zahara to your accounting or ERP system, so committed spend shows up in the ledger as soon as it is approved rather than when the supplier's invoice finally arrives.
Invoices without rekeying
Supplier invoices processed in Zahara export to the purchase ledger with their coding intact. Finance posts what procurement has already checked and approved, instead of typing every invoice in a second time.
Spend coded right from the start
Nominal codes, tax codes and cost codes import into Zahara from the ledger. Staff pick from the lists finance uses when they raise a request, so spend is coded correctly at the moment it is committed.
Deliveries recorded once
Goods received notes can move from Zahara to your ERP or from your ERP into Zahara, whichever suits your process. A delivery booked in one system appears in the other without a second entry.
Suppliers and products in line
Suppliers and products can be maintained in one system and copied to the other. Buyers order from current supplier details and catalogue items, and accounts payable pays the right supplier account.
Spend analysis by division and project
Business divisions, projects and users export from Zahara, giving a reporting or ERP system what it needs to analyse spend by division, project or the person who raised the request.

The problem
Why integrate Zahara?
Zahara gives procurement control over spend before it happens. That control weakens if the codes in Zahara drift away from the ledger, or if approved orders and invoices still have to be typed into the accounts. Finance then spends month-end reconciling two versions of the same purchase.
Without integration
- Approved purchase orders retyped into the accounting system
- Requests coded to nominal codes that no longer exist
- Supplier invoices processed in Zahara, then keyed again by finance
- Deliveries booked in one system and missing from the other
- New suppliers set up twice, with details that soon differ
With Zynk
- Purchase orders export from Zahara once approved
- Nominal, tax and cost codes import into Zahara from the ledger
- Invoices post to the purchase ledger with their coding
- Goods received notes recorded in both systems
- Supplier records maintained once and copied across
How it works
How the Zahara integration works
Step 1: Link Zahara and the ledger
Zynk connects to your Zahara account and to your accounting or ERP system, then agrees with you which system owns suppliers, products and each set of codes.
Step 2: Map the coding
Nominal, tax and cost codes are matched between the two systems, along with business divisions and projects, so every order and invoice from Zahara lands on the right accounts.
Step 3: Move the transactions
Approved purchase orders, invoices and goods received notes export from Zahara on a schedule. Reference data flows the other way, so new codes and suppliers appear in Zahara without anyone adding them by hand.
Step 4: Review, then run unattended
Test runs are checked in both systems before go-live. After that the workflows run on their own, and any record that fails to import is written to a fail file for someone to review and resend.
