Reporting

Sage reporting: custom reports, dashboards and answers in seconds

Ask Sage 50 or Sage 200 for any report in plain English, in the AI assistant you already use, and bring Xero, Shopify and Google Analytics into the same answers. No exports, no spreadsheets.

Sage knows who owes you money, which customers are growing, where margins are slipping and how this quarter compares to last. Getting a report out of it is another matter. It usually means the report designer, an export to Excel, an afternoon of tidying, or a wait for the one person who knows how Sage reporting works. By the time the figures are circulated, they are already out of date.

Automated Sage reporting removes that legwork, so the people who need an answer can get one when they need it.

What is automated Sage reporting?

Automated reporting turns the figures in your systems into answers, reports or dashboards without manual exports and copy and paste. For most growing businesses, the core of it is Sage 50 or Sage 200, with sales and traffic data elsewhere:

  • Accounting: Sage 50, Sage 200 and also Xero
  • Ecommerce: platforms such as Shopify
  • Web analytics: Google Analytics

Traditional Sage business intelligence has meant a report writer, Excel exports or an ODBC link into a BI tool, plus a monthly reporting cycle. Insights AI takes a different approach: it reads the answer live from Sage and the other systems you already run, and lets anyone in the business ask for it in plain English.

Custom Sage reports without the report designer

Describe the report you want and the AI assistant builds it from your live Sage data, as a table, a chart or a short summary:

  • "Aged debt by customer, oldest first, with each customer's credit limit"
  • "Sales by product group for each month this year, compared with last year"
  • "Gross margin by customer for the last quarter, lowest first"
  • "Supplier spend by month for the last 12 months"

Then refine it in the same conversation: "split that by region", "only customers over £10,000", "add last year for comparison". There are no templates to design, no layouts to fight with and no exports to tidy up.

Sage dashboards and management reporting

The questions you ask every month can become your management pack. Ask for the same set each time, such as sales against last year, gross margin, debtor days, cash due in and out, and top customers, and the assistant lays it out with charts and a commentary on what has changed.

Because Insights reads live from Sage, the pack reflects the ledger as it stands when you ask, not as it stood at the last export. Anyone with access can produce it, so month-end doesn't wait on one person.

For credit control, the same approach replaces the aged debtors run: see our guide to the Sage aged debtors report.

Sage BI without a data warehouse

Business intelligence tools such as Power BI are powerful, but connecting them to Sage usually means exports or an ODBC link, a data model someone has to build, and a refresh schedule someone has to maintain. That is the right investment for a large set of board dashboards or heavy historical modelling.

For the everyday questions, it is a lot of machinery. Insights AI answers them straight from Sage with no warehouse, no data model and no sync delay, and it only sees what your existing Sage permissions allow. If you are weighing the options, we compare Sage Copilot, MCP servers, BI tools and report writers in Sage AI tools compared.

AI reporting vs manual reporting in Sage

Spreadsheet reporting works until the questions get harder or more frequent. Then the cracks show:

  • Stale numbers. By the time a report has been exported, cleaned and circulated, the figures are already out of date.
  • Reports, not answers. Each system gives you its own report, so you end up comparing five documents to answer one question.
  • A bottleneck on a few people. Only the person who knows the report writer or the spreadsheet can produce the figures, and everyone else waits.
  • Copies of your data everywhere. Exported files get emailed around, edited and saved in different places, so nobody is sure which version is right.
  • Missed gaps between systems. Quotes that never became invoices, or traffic that never became orders, are hard to spot when each system is reported in isolation.

How automated reporting works with Insights AI

Insights AI is an MCP (Model Context Protocol) server, the open standard AI assistants use to connect to business data. It links Sage and your other systems to Claude, ChatGPT, Copilot or Gemini, so reporting happens inside the assistant your team already uses.

  1. Connect your systems. Add Sage 50 or Sage 200, and optionally Xero, Shopify and Google Analytics, using your existing logins and permissions. Setup takes minutes.
  2. Add Insights to your AI assistant. Connect it to Claude, ChatGPT, Copilot or Gemini so your team can start asking straight away. Our guide shows how to connect Sage to ChatGPT, Claude, Copilot or Gemini.
  3. Ask in plain English. Type a question the way you would ask a colleague: which customers are overdue, how sales compare to last month, where web traffic turned into orders.
  4. Check the source. Every answer shows which system and records it came from, so you can trace the number back and trust it.

Answers are read live from the source, with no data warehouse and no sync delay. Because Insights connects several systems at once, a single answer can combine sales, cash, invoices and web traffic.

Secure by design

Reporting tools often need a copy of your data. Insights does not. It is read-only by design and never writes back to Sage or your other systems, and it only sees what your existing permissions allow. Your numbers stay where they are, secured by the controls you already have. Read more in is it safe to connect Sage to AI?

What to look for in Sage reporting software

When comparing Sage reporting tools and AI reporting options, check that the software:

  • Connects to all the systems your questions depend on, not just your accounts package
  • Reads live data rather than a nightly or monthly copy
  • Lets non-specialists ask questions without learning a report writer
  • Shows where every figure came from, so answers can be verified
  • Respects your existing permissions and does not change your data
  • Works with the tools your team already uses, rather than adding another login

Reporting alongside integration

Insights answers questions across your systems. If you also need data to move between them, such as orders into Sage or stock out to your channels, Zynk's integration platform handles that side. See ecommerce accounting, inventory sync or file and database integration for examples.
