HubSpot Integration

Zynk's HubSpot integration links your CRM to the finance and order systems behind it. Companies, contacts and won deals export from HubSpot into Sage, Xero, Business Central and similar platforms as customers and sales orders, while invoices, payments, products and ecommerce orders come back into HubSpot records. It suits sales, marketing and finance teams that want one customer record instead of three.

Benefits

Why businesses connect HubSpot

One customer record for sales and finance

When a deal closes, the company and its contacts export to your accounting system as a customer account. Finance stops retyping addresses from the CRM, and both systems hold matching details from the first invoice onwards.

Invoice history inside HubSpot

Invoices and payment status from Sage, Xero or QuickBooks import into HubSpot against the right company or deal. Account managers can check what a customer has been billed, and whether it has been paid, before they pick up the phone.

Won deals become sales orders

Deals and their line items export from HubSpot and arrive in Sage 200, Sage 50 or Business Central as sales orders, ready for fulfilment. Nobody has to rebuild the order from a quote PDF or an email thread.

Online buyers in your CRM

Customers and orders from Shopify, Magento or WooCommerce can be imported into HubSpot as contacts and deals. Marketing can then segment buyers by what they actually purchased, not just by the forms they filled in.

Finance documents where teams look

Zynk can upload files into HubSpot, so documents produced by your finance system, such as invoice PDFs, are stored in HubSpot alongside the records your sales and service teams already work from.

Follows your HubSpot setup

Zynk reads and writes HubSpot records by object type, including contacts, companies, deals, line items and products, with the associations between them. Custom properties map like any other field, so the integration fits the portal you already have.

The problem

Why integrate HubSpot?

HubSpot knows who your customers are and what they are about to buy. Your accounts system knows what they were invoiced and whether they paid. Without a link between the two, reps chase finance for account status, finance retypes new customers from the CRM, and reports built on either system tell only half the story.

Without integration

  • New customers typed into the accounts system from HubSpot by hand
  • Won deals emailed to the office and re-entered as sales orders
  • Sales reps asking finance whether a customer has paid
  • Online buyers missing from HubSpot, so campaigns ignore what they bought
  • Customer addresses that differ between the CRM and the ledger

With Zynk

  • Companies and contacts export to finance as customer accounts
  • Deals and line items create sales orders in your ERP
  • Invoice and payment status shows on HubSpot records
  • Ecommerce customers and orders import into HubSpot
  • Customer details stay consistent across HubSpot and finance

How it works

How the HubSpot integration works

  1. Step 1: Connect HubSpot and your back office

Zynk connects to your HubSpot portal through HubSpot's APIs and to your accounting, ERP or ecommerce platform. Your HubSpot admin authorises the connection once, and Zynk makes the API calls from then on.

  2. Step 2: Choose objects and properties

Decide which HubSpot objects move, such as companies, deals or line items, and map their properties, including custom ones, to customer accounts, sales orders, stock codes and nominal codes in the other system.

  3. Step 3: Set matching rules

Records match on keys such as email address, company name or an account reference held on the HubSpot record, so repeat runs update existing entries instead of creating duplicates.

  4. Step 4: Run on a schedule

Each run picks up records modified since the last one, on a timetable you choose. Anything that fails to import is logged with the reason, so it can be corrected and sent again.

HubSpot integration FAQs

Can HubSpot integrate with Sage accounting software?
Yes. Zynk connects HubSpot with Sage 50, Sage 200, Sage Intacct and Sage Business Cloud Accounting. Companies and won deals can become Sage customers and sales orders, and invoice details from Sage can be written back to HubSpot so sales teams see the account position.
How do I connect HubSpot to Xero for invoicing?
Zynk links the two through their APIs. HubSpot companies export to Xero as contacts, and Xero invoices and payments import into HubSpot against the matching company or deal. Our team maps the fields and sets the schedule, so you don't build or host the connection yourself.
Which HubSpot objects can Zynk read and write?
Zynk exports and imports HubSpot records by object type, such as contacts, companies, deals, line items and products, including the associations between them. It can also upload files into HubSpot. Custom properties map in the same way as standard ones.
Does HubSpot have an API that Zynk can use?
Yes. HubSpot provides APIs for its CRM objects, associations and files. Zynk uses those APIs on your behalf, so your team does not write or maintain integration code. A HubSpot admin authorises Zynk's access during setup.
Can won deals in HubSpot create sales orders?
Yes. Deals and their associated line items can export from HubSpot and import into Sage 200, Sage 50 or Business Central as sales orders. The deal stage that triggers the export, and how HubSpot products map to stock codes, are agreed with you during design.
Will the integration create duplicate contacts in HubSpot?
It is designed not to. Each workflow matches records on a key you choose, such as email address, company name or an account reference, and updates the existing record when it finds one. Records that fail to import are logged with the reason so they can be fixed.
Can HubSpot connect to Shopify or Magento through Zynk?
Yes. Customers and orders from Shopify, Magento or WooCommerce can import into HubSpot as contacts and deals. Marketing gets purchase history to segment on, and sales gets a record of what each account has already bought online.
Where do I start with a HubSpot integration project?
Talk to the Zynk team about the HubSpot objects you want to move and the systems on the other side. We'll confirm what is possible with your portal, propose a workflow and agree how often it should run before anything is built.
