Royal Mail Integration

Zynk's Royal Mail integration retrieves tracking summaries for the Royal Mail items you send and writes the latest delivery status into the systems your teams use. Shopify and Magento orders, Sage sales orders and CRM records show whether a parcel is still in transit or delivered, so customer service can answer delivery questions without opening the Royal Mail website.

Benefits

Why businesses connect Royal Mail

Delivery status where people look

Tracking summaries from Royal Mail are written to the order in your store, ERP or CRM, so staff can see whether an item is in transit or delivered on the record they already have open.

Delivery questions answered first time

When customer service can see the latest Royal Mail status against each order, a delivery query is answered on the first contact instead of after a trip to the tracking website and a promised call back.

Status that keeps moving

Summaries are requested on a schedule, so the status shown in your systems moves on from despatch towards delivery without anyone refreshing a tracking page or copying events across.

Delivery confirmed before you chase

Finance and account teams can check that Royal Mail has delivered an order before chasing payment or responding to a dispute, using the same tracking information the customer sees.

Works with the way you ship

Whether labels come from Royal Mail Click & Drop, Shiptheory or another shipping tool, Zynk works from the Royal Mail tracking numbers already stored against your orders.

The last step of the order workflow

Tracking checks can sit at the end of an existing Zynk order workflow, so the integration that posts each sale and sends it for despatch also confirms when the parcel has reached the customer.

The problem

Why integrate Royal Mail?

Royal Mail records scan events for every tracked item it carries, but that information sits in Royal Mail's systems rather than yours. Without integration, staff paste tracking numbers into the Royal Mail website one at a time, and the order in your store, ERP or CRM never shows whether the parcel actually arrived.

Without integration

  • Customer service looking up tracking numbers one at a time online
  • Orders marked as shipped but never confirmed as delivered
  • Customers emailing to ask where their parcel has got to
  • Delivery disputes settled by digging through old emails
  • Finance unsure whether goods arrived before chasing payment

With Zynk

  • The latest tracking summary appears against each order
  • Delivery status updates automatically from Royal Mail
  • Staff answer delivery questions from the order record
  • Each order carries its own Royal Mail delivery status
  • Delivery confirmation is visible to finance and sales

How it works

How the Royal Mail integration works

  1. Step 1: Register with Royal Mail

Set up access to Royal Mail's Tracking API through the Royal Mail Developer Portal, then give Zynk the credentials issued for your application.

  2. Step 2: Choose the orders to track

Pick the system that holds your tracking numbers, such as your store or ERP, and decide which orders count as still awaiting delivery.

  3. Step 3: Map Royal Mail statuses

Decide how each summary maps to the statuses, fields or notes in the receiving system, for example in transit, delivered or delivery attempted.

  4. Step 4: Schedule the checks

Summaries are requested on a schedule that suits your volumes and the call limits of your Royal Mail API plan, with an alert if a request fails.

Royal Mail integration FAQs

Which Royal Mail data can Zynk retrieve?
The connector retrieves tracking summaries from Royal Mail's Tracking API, giving the latest tracking status for each item you send with a tracking number. Zynk then writes that status into your store, ERP or CRM so the order record stays current.
Does Zynk create Royal Mail shipping labels?
No. The Royal Mail connector reads tracking information rather than creating shipments. Labels are usually produced in Royal Mail Click & Drop or a shipping platform such as Shiptheory, and Zynk then tracks those items using the numbers stored against each order.
Can Shopify orders show Royal Mail delivery status?
Yes. Zynk requests the latest Royal Mail tracking summary for each shipped Shopify order and updates the order in Shopify. Your team sees delivery progress in the Shopify admin instead of checking the Royal Mail website parcel by parcel.
Do I need a Royal Mail developer account?
Yes. Royal Mail's Tracking API is accessed through the Royal Mail Developer Portal, where you register an application and receive credentials. Zynk uses those credentials, and the plan you choose there sets how many tracking requests can be made.
How often is Royal Mail tracking checked?
On a schedule you choose, balanced against the request limits of your Royal Mail API plan. For example, checking undelivered items a few times a day keeps status current without spending requests on parcels that have already arrived.
Which systems can receive Royal Mail tracking?
Any system Zynk can update orders or records in, including Shopify, Magento, Sage 200, Sage 50, Salesforce and HubSpot. The summary can be stored as a status, a field or a note, depending on what the receiving system supports.
Can Royal Mail tracking go into Sage 200 or Sage 50?
Yes. Zynk can update Sage 200 and Sage 50 sales orders with the latest Royal Mail status, so the people who manage accounts can confirm delivery from inside Sage before chasing payment or raising a credit note.
