Square Integration

Zynk's Square integration uses Autopilot, our no-code product, to carry Square sales, payments and refunds into your accounting system. It is aimed at small businesses that take payments in person or online with Square and keep their books in Xero, QuickBooks, FreeAgent or Sage, and who want daily takings recorded without anyone retyping totals.

Benefits

Why businesses connect Square

Takings recorded as you trade

Square sales are posted to your accounting system on a schedule you control, so the ledger reflects what the counter and online store actually took rather than a total keyed in at the end of the week.

Refunds that are not forgotten

Refunds issued through Square reach the accounts alongside the original sales. Revenue is not overstated, and a returned item does not leave a loose end for your bookkeeper to chase at the end of the quarter.

Payments ready to reconcile

Square payments are recorded in your accounts, so reconciling against the money that reaches your bank becomes a matching exercise rather than an evening spent rebuilding figures from Square reports.

Exceptions caught early

Autopilot's agents spot problems such as an unrecognised product or a new tax rate, resolve what they can and flag the rest for a decision, so small issues do not quietly pile up behind the scenes.

No developers involved

Autopilot is no-code. You connect Square and your accounting software, answer a few setup questions and Autopilot builds the integration for you, with nothing to script, host or keep patched.

Made for small teams

Autopilot is designed for small businesses without an IT department. Once the connection is running, there is no spreadsheet routine to hand over when someone is on holiday and no local software for anyone to update.

The problem

Why integrate Square?

Square makes taking payments simple, at a counter, on a phone or online. The accounting side is less simple. Without a connection, someone downloads sales reports, totals them by tax rate and payment type, keys them into the accounts and then does the same for refunds. Mistakes usually surface when the VAT return is due.

Without integration

  • Daily Square sales reports downloaded and keyed in by hand
  • Refunds missed, leaving revenue overstated
  • Payments that never quite match what reaches the bank
  • Bookkeeping that runs days or weeks behind trading
  • Problems discovered only when the VAT return is prepared

With Zynk

  • Square sales post to your accounting system automatically
  • Refunds are recorded next to the sales they relate to
  • Payments are recorded so reconciliation starts from complete data
  • The books follow trading on a schedule you choose
  • Anomalies are flagged by Autopilot as they appear

How it works

How the Square integration works

  1. Step 1: Connect Square

Start in Autopilot and authorise it to access your Square account. The guided setup walks you through each step, so no technical knowledge is needed to get the first connection in place.

  2. Step 2: Add your accounting system

Link Xero, QuickBooks, FreeAgent or Sage Business Cloud Accounting, the system where your Square sales, payments and refunds should be recorded.

  3. Step 3: Confirm the mapping

Autopilot's AI-assisted setup proposes how Square sales, tax and payment types map to your accounts, and asks you to confirm anything it cannot settle on its own.

  4. Step 4: Let it run

Autopilot syncs on a schedule you control and watches for anomalies, such as a sudden spike in refunds or a failed sync, so issues are raised before they turn into a backlog of manual fixes.

Square integration FAQs

What is Square?
Square is a payments and point of sale platform that businesses use to take card payments in person, sell online and send invoices. Alongside its own hardware and apps, it offers a developer platform with APIs for orders, catalog, inventory and customers.
What are the steps to link Square with Xero?
Use Zynk Autopilot. You authorise Autopilot to access Square and Xero, confirm how sales, tax and payment types should be recorded, and Autopilot then posts Square sales, payments and refunds to Xero on the schedule you choose.
Does the Square integration work with QuickBooks and FreeAgent?
Yes. Autopilot connects Square to QuickBooks, FreeAgent, Xero and Sage Business Cloud Accounting, so you can keep the accounting software you already use. If you are unsure which setup suits you, our team can talk it through with you.
Do I need a developer to connect Square to my accounts?
No. Autopilot is Zynk's no-code product, built for small businesses. Setup is guided, with AI-assisted mapping and exception handling, so there is no code to write and no integration server for you to look after.
What Square data does Zynk send to my accounting software?
Autopilot carries Square sales, payments and refunds into your accounting system, mapped to the accounts and tax codes you confirm during setup. If you need other records moved, such as stock or customer details, talk to our team about your requirements.
Does Square offer APIs for developers?
Yes. Square's developer platform includes APIs for payments, orders, catalog, inventory, customers, refunds and payouts. Autopilot works with Square on your behalf, so you do not have to build anything against those APIs yourself or follow changes Square makes to them over time.
How often does Square data sync with my accounts?
Autopilot syncs on a schedule you control, so the books can be updated through the day or once each evening after trading closes. In the background it also watches for anomalies, such as a sudden rise in refunds.
Can I use Square alongside other sales channels?
Yes. Autopilot is designed for businesses selling across several channels, including Shopify, Amazon, eBay and WooCommerce. Square sales can sit alongside them, with every channel posting into the same accounting system, so in-store and online trading are reported together.
