PayPal Integration

Zynk's PayPal integration exports transactions from your PayPal business account and posts them to the accounting system that needs them. Gross amounts, PayPal fees and net figures reach Sage 50, Sage 200, Xero or Business Central on a schedule, so finance can reconcile PayPal receipts against orders and the bank without downloading activity reports.

Benefits

Why businesses connect PayPal

PayPal activity in the ledger

Every transaction in the chosen date range exports from PayPal and posts to your accounts. Finance works from complete figures instead of a spreadsheet download that someone remembers to run at month end.

Fees recorded properly

Each transaction carries its gross amount, PayPal fee and net amount. Fees can be posted to their own expense account, so sales are not understated and the PayPal balance in your books matches the account.

Order lines when you need them

Switch on transaction details to include item lines where PayPal holds them. That helps match a payment to the order it settles and gives finance product-level detail for analysis.

A date window that moves itself

After each run the export moves its start and end dates forward on its own, so a daily schedule keeps collecting new activity without anyone editing settings.

Reconciliation that keeps up

With PayPal transactions recorded as they happen, matching transfers to the bank and clearing open sales invoices becomes a short daily routine rather than a month-end project.

Currencies kept apart

Each amount carries its currency, and PayPal's currency conversions come through as transactions of their own, so foreign-currency sales and conversion entries can be posted to the right accounts.

The problem

Why integrate PayPal?

PayPal often sits beside a card processor as a second way customers pay. Its transactions, fees and transfers live in the PayPal account, not the accounts package. Without integration, someone downloads activity reports, separates out fees and posts journals by hand, and the PayPal clearing account rarely balances.

Without integration

  • PayPal activity downloaded and reformatted every month
  • Fees netted off sales so revenue is understated
  • A PayPal clearing account that never quite reconciles
  • Payments that can't be traced back to the order they paid for
  • Currency conversions buried somewhere in the activity report

With Zynk

  • Transactions export from PayPal on a schedule you set
  • Gross, fee and net amounts post separately
  • Every transaction is recorded, so the balance can be matched
  • Optional item details link each payment to its order
  • Conversions arrive as separate transactions ready to post

How it works

How the PayPal integration works

  1. Step 1: Generate API credentials

In your PayPal business account settings, request NVP/SOAP API credentials with an API signature. Zynk uses the API username, password and signature to read your transaction history.

  2. Step 2: Choose the level of detail

Decide whether to export header details only or include item lines, and set the date range for the first run. Later runs move the range forward automatically.

  3. Step 3: Map to your accounts

Map each transaction type to the right posting, such as receipts against customer accounts, fees to an expense code and transfers to your bank account.

  4. Step 4: Schedule and reconcile

Run the export daily or more often. Posted PayPal transactions then sit in your accounting system ready to reconcile against the bank and the sales ledger.

PayPal integration FAQs

Can PayPal transactions be posted to Sage?
Yes. Zynk exports PayPal transactions and posts them into Sage 50 or Sage 200, with fees and receipts coded the way your accountant prefers. Your PayPal bank account in Sage then mirrors the activity in PayPal itself.
What data does the PayPal export include?
Each transaction includes its date, type, status, payer, gross amount, fee and net amount, along with the PayPal transaction ID. You can also include item-level order details where PayPal holds them, which helps when matching payments to orders.
What do I need from PayPal to connect it to Zynk?
A PayPal business account and NVP/SOAP API credentials, which you request under API access in your PayPal account settings. Zynk's PayPal task uses the API username, password and signature to read transactions and does not move money.
Will PayPal data post to Xero or QuickBooks Online?
Yes. Transactions can be posted to Xero as bank transactions, and to QuickBooks Online through its payment and sales receipt imports. Mapping decides how receipts, fees and transfers are recorded in each system.
Does the integration create anything in PayPal?
No. The PayPal connector exports transaction data only. Payments are still taken through your checkout or invoices as normal, and Zynk reads the resulting activity so finance can record it accurately.
How often can PayPal transactions be exported?
As often as suits your reconciliation routine, from several times a day to once overnight. Each run moves its date window forward automatically, so a daily schedule doesn't need dates changing by hand.
Does this work for WooCommerce or Shopify stores that take PayPal?
Yes. Zynk can export orders from WooCommerce or Shopify and PayPal transactions as separate steps, then post both to your accounting system. Finance can then match each PayPal payment to the sale it belongs to instead of reconciling two reports by eye.
What does setting up the PayPal connection involve?
Tell us which accounting system you use and how PayPal fits into your sales channels. We'll help you generate the API credentials, agree how each transaction type should post and set a schedule that suits your month end.
