webCRM Integration

Zynk's webCRM integration links webCRM to the accounting and ERP systems that bill your customers. Organisations and persons move between webCRM and Sage, Xero or Business Central, and deliveries created when deals are won can become sales orders or invoices, with progress written back to the delivery. It suits sales-led businesses that want the CRM and the ledger to agree.

Benefits

Why businesses connect webCRM

Customers set up once

Organisations and their persons export from webCRM to create customer accounts in your accounting system, and accounts opened by finance can be imported back. Nobody has to key the same company into two systems.

Won deals become invoices

webCRM can create a delivery when an opportunity is marked as won. Zynk exports that delivery with its order lines, so it can be raised as a sales order or invoice in your back office without rekeying.

Delivery records kept current

As orders progress in the ERP or accounts, Zynk updates the matching webCRM deliveries, so account managers can see what has been processed and billed without asking operations or finance.

Custom fields mapped properly

Field metadata exports from webCRM, so Zynk knows how your custom fields are set up and can map them to the right places in other systems, rather than leaving useful data behind in the CRM.

No code against the API

webCRM offers an open API, and Zynk manages the connection to it on your behalf. Your team decides what should move and when, and never has to write or host integration code.

Online buyers visible to sales

Customers and B2B companies from your Shopify store can be imported into webCRM, so salespeople can see who is buying online and pick out trade accounts that deserve a personal call.

The problem

Why integrate webCRM?

webCRM holds the relationship, but invoicing, stock and payments sit in the finance system. When the two are not connected, sales and finance keep separate customer lists, won deals are retyped as orders and nobody in sales can see what has been delivered or billed without sending someone an email.

Without integration

  • Won deals emailed to finance and keyed in as orders
  • Company details that differ between webCRM and the ledger
  • Account managers chasing operations for order updates
  • Custom webCRM fields ignored because nobody mapped them
  • Online buyers unknown to the sales team

With Zynk

  • Deliveries export to your ERP or accounts as orders or invoices
  • Organisations and persons stay consistent across both systems
  • Delivery records in webCRM are updated as orders move on
  • Field metadata lets custom fields be mapped like any other
  • Store customers and companies arrive in webCRM as persons and organisations

How it works

How the webCRM integration works

  1. Step 1: Link webCRM and finance

Zynk connects to your webCRM system through webCRM's API, and to the accounting or ERP system you invoice customers from.

  2. Step 2: Read your field set-up

Field metadata is exported so standard and custom fields on organisations, persons and deliveries can be mapped to customer, contact and order fields in the other system.

  3. Step 3: Agree the rules

We decide with you which system creates customers, when a delivery should become an order and which ERP updates are written back to webCRM, then test everything on sample records.

  4. Step 4: Switch on

Workflows run on a schedule, moving new and changed records between the systems and reporting any record that fails validation so it can be corrected.

webCRM integration FAQs

Does webCRM work with Sage accounts?
Yes. Zynk connects webCRM with Sage 50 and Sage 200. Organisations and persons create customer accounts in Sage, won deliveries become sales orders or invoices, and order progress and customer changes can be written back to webCRM.
Can Zynk use the webCRM API?
Yes. webCRM offers an open API for connecting other systems. Zynk uses it to export and import organisations and persons, export and update deliveries and read field metadata, so you don't need to write code against the API yourself.
What is a delivery in webCRM?
A delivery is webCRM's record for post-sale work. webCRM can be set up to create one automatically when an opportunity reaches the won stage, carrying the order lines and opportunity details. Zynk exports deliveries so that work can continue in your ERP or accounts.
How does webCRM link to Xero?
Yes. webCRM organisations can be created as Xero contacts and deliveries raised as Xero invoices. Invoice details from Xero can then be written back to the delivery, so the sales team can see what has been billed without leaving webCRM.
Does the integration support webCRM custom fields?
Yes. Zynk exports webCRM field metadata, which describes your standard and custom fields. Custom fields on organisations, persons and deliveries can then be mapped to fields in your accounting, ERP or ecommerce system like any other field.
Can Shopify customers flow into webCRM?
Yes. Shopify customers and B2B companies can be imported into webCRM as persons and organisations. Your sales team then sees online buyers alongside the accounts it already manages, and can spot when a trade customer starts ordering through the store.
Who builds a webCRM integration?
Our team builds webCRM integrations on Zynk Workflow, a low-code platform, and supports them after go-live. You tell us which records should move and which system owns them, and we handle the connection, mapping and testing.
