Workbooks Integration
Zynk's Workbooks integration links the Workbooks CRM to the accounting system that collects your money. Invoices raised in Workbooks post to Xero, Sage, QuickBooks or Business Central, expenses export for processing, invoices from the accounts can be imported, and payment status flows back to each Workbooks invoice. It suits mid-sized businesses that sell and bill from their CRM.
Capabilities may differ depending on the product.
Benefits
Why businesses connect Workbooks
Invoices posted without rekeying
Invoices created in Workbooks export to your accounting system with their customer and line details, so finance stops copying each one into the ledger after sales has raised it.
Payment status in the CRM
When a customer pays, Zynk updates the payment status of the invoice in Workbooks. Account managers can see what is outstanding before they renew, upsell or chase, without having to ask finance.
Expenses ready for finance
Expenses recorded in Workbooks export for processing in your accounts, so costs captured in the CRM reach finance without being retyped or passed around in spreadsheets.
Billing history for sales
Where invoices are raised in the accounting system instead, they can be imported into Workbooks, giving the CRM a complete billing history for every customer whichever system created the invoice.
Connection managed for you
Zynk handles the connection to Workbooks and to your accounting package, so there is no custom code or fragile chain of automations for your team to keep running.
One view of every customer
Sales, account management and finance see the same invoices and payment position for each customer, whether they work in Workbooks or in the ledger, which makes renewal and credit conversations quicker and better informed.

The problem
Why integrate Workbooks?
Workbooks can raise orders and invoices, but the ledger, the bank and the payments live in your accounting system. Without integration, finance rekeys every Workbooks invoice, expenses travel around in spreadsheets and sales teams have no idea whether a customer has paid until they ask. The gap widens with every new customer.
Without integration
- Workbooks invoices retyped into the accounts by finance
- Payments recorded in the ledger but invisible in the CRM
- Expenses sent to finance as spreadsheets and emails
- Sales calling customers who have already paid
- Invoices raised in the accounts that sales never sees
With Zynk
- Invoices export from Workbooks to your accounting system automatically
- Each Workbooks invoice shows its current payment status
- Expenses export from Workbooks ready for processing
- Account managers check payment status before they get in touch
- Invoices import into Workbooks so the CRM has the full picture
How it works
How the Workbooks integration works
Step 1: Connect both systems
Zynk connects to your Workbooks account and to Xero, Sage, QuickBooks or Business Central, whichever system holds your sales ledger.
Step 2: Map customers and codes
Workbooks customers are matched to accounts in the ledger, and products, tax and nominal codes on invoice lines are mapped to the codes finance uses.
Step 3: Test the invoice cycle
A sample invoice is followed through posting, payment and the status update in Workbooks, so sales and finance can both confirm the result.
Step 4: Automate
Invoices, expenses and payment updates then move on a regular schedule, and any record that fails is reported so it can be checked and resent.
Integrations
What can you connect to Workbooks?
Example use cases for Workbooks integration
Workbooks and Xero
Post Workbooks invoices to Xero as sales invoices, then mark them as paid in Workbooks once Xero records a payment against them.
Workbooks and QuickBooks
Raise QuickBooks Online invoices from Workbooks and bring QuickBooks payments back, so the CRM shows which customers still have money outstanding.
Workbooks and Sage 50 UK
Bring invoices raised in Sage 50 into Workbooks, so account managers see each customer's billing history alongside their sales activity.
Workbooks and Microsoft Dynamics 365 Business Central
Create Business Central sales invoices from Workbooks, pass expenses across for posting and update payment status from Business Central customer payments.
