Virtualstock Integration

Zynk's Virtualstock integration is for suppliers who fulfil retailer orders through the Virtualstock dropship platform. Orders export from Virtualstock into your ERP, such as Business Central or Sage 200, or your accounting or warehouse system, and order acknowledgements, dispatch confirmations, stock availability and product details go back, so you can serve several retailers without working through the supplier portal order by order.

Benefits

Why businesses connect Virtualstock

Retailer orders where you work

Orders placed with you through Virtualstock export into Sage, Business Central or your warehouse system as sales orders. Your team picks and invoices them alongside every other order, without retyping anything from the portal.

Acknowledgements without delay

Once an order is accepted into your system, Zynk sends an order acknowledgement back to Virtualstock. The retailer can see the order has been received, and nobody has to open the portal to confirm it.

Dispatches confirmed as they happen

Dispatch confirmations import into Virtualstock as orders leave your warehouse, so the retailer can keep its own customer informed instead of chasing you for an update. Its view of each order then matches what has really happened in your warehouse.

Availability retailers can rely on

Stock availability imports into Virtualstock from the system that holds your inventory, so retailers stop selling lines you cannot supply. Fewer cancelled orders helps keep your standing with each retailer strong.

Product data kept current

Products can import into Virtualstock from your own catalogue and export back out for checking, so new lines and product changes reach retailers without a separate manual upload. Your own system stays the master copy of product information.

The problem

Why integrate Virtualstock?

Dropship retailers expect suppliers to accept orders quickly, confirm each dispatch and keep stock figures current. When Virtualstock and your own systems are separate, every order is copied out of the portal, every dispatch is confirmed by hand and stock updates wait until someone has time, which gets harder with each retailer you add.

Without integration

  • Orders copied from the Virtualstock portal into the ERP
  • Acknowledgements sent late because nobody checked the portal
  • Dispatches confirmed in one batch at the end of the day
  • Retailers selling stock you no longer have
  • New products set up twice, once internally and once for retailers

With Zynk

  • Retailer orders export into your ERP or WMS automatically
  • Orders are acknowledged once they are safely in your system
  • Dispatch confirmations go back to Virtualstock on every run
  • Stock availability updates from your inventory system on a schedule
  • Products import into Virtualstock from your own catalogue

How it works

How the Virtualstock integration works

  1. Step 1: Connect your supplier account

Zynk connects to Virtualstock with the API access set up for your supplier account, and to the ERP, accounting or warehouse system that processes your orders.

  2. Step 2: Match products and customers

Products in Virtualstock are matched to your own stock codes, and each retailer is linked to a customer account, so orders and invoices post to the right place.

  3. Step 3: Test the order cycle

A test order is followed from export through acknowledgement and dispatch, and stock figures are compared in both systems before anything goes live.

  4. Step 4: Run on a schedule

Orders, acknowledgements, dispatches and stock updates then run at intervals that suit your retailers' service levels, and failures are reported to your team.

Virtualstock integration FAQs

What is Virtualstock?
Virtualstock is a UK platform that lets retailers run dropship and curated marketplace programmes, connecting them with many suppliers at once. Suppliers can work through its portal or through its APIs, which share order status, delivery status and stock availability.
Will Virtualstock orders go into Sage?
Yes. Zynk can create sales orders in Sage 50 or Sage 200 from Virtualstock orders, then send stock availability and, from Sage 200, despatch details back to Virtualstock. Retailers see accurate status without your team updating the portal by hand.
Does the integration acknowledge Virtualstock orders?
Yes. Zynk imports order acknowledgements into Virtualstock once each order has been created in your system, telling the retailer it has been received. Dispatch confirmations follow when the order ships, so the retailer can update its own customer.
How often is Virtualstock stock availability updated?
You decide. Stock availability imports into Virtualstock at whatever interval your workflow schedule is set to, so retailers are less likely to sell lines you have run out of. Fast-moving ranges can simply be updated more often than slow ones.
Can I manage Virtualstock products from my own system?
Yes. Products can import into Virtualstock from your ERP or product catalogue, and existing Virtualstock products can be exported for checking or mapping. New lines then reach your retailers without a separate manual upload, and changes made in your catalogue are passed on the next time the workflow runs.
Can Virtualstock orders go to a 3PL?
Yes. Orders can go to a warehouse system such as Peoplevox or Mintsoft instead of, or as well as, your accounts. Stock figures, and despatches where the warehouse system reports them, then come from the warehouse, so Virtualstock reflects what has actually shipped.
Do I still need to log in to the Virtualstock portal?
For day-to-day orders, much less often. Orders, acknowledgements, dispatches and stock updates are handled by the integration, so the portal becomes somewhere to check exceptions rather than the place where routine work is done.
Does Virtualstock integrate with Business Central?
Yes. Zynk turns Virtualstock orders into sales orders in Microsoft Dynamics 365 Business Central, then sends posted sales shipments back to Virtualstock as dispatch confirmations, along with stock availability. Retailers see order progress without anyone updating the supplier portal by hand.
