Shipping and Logistics

ShipStation Integration

Zynk's ShipStation integration links ShipStation to the accounting, ERP, ecommerce and CRM systems that create and track your orders. Orders from Sage, Magento or your ERP import into ShipStation for labelling, while shipments, fulfilments, carriers and tags export back, so despatch is recorded in the books and customers get tracking without anyone copying numbers between screens.

Benefits

Why businesses connect ShipStation

Orders ready to label

Sales orders from Sage 50, Sage 200 or your ecommerce platform import into ShipStation with addresses and lines intact, so packers print labels without retyping a single delivery detail.

Despatch recorded in the ledger

Shipments export from ShipStation once labels are created, and Zynk marks the matching sales order as despatched in Sage, so stock and order status in your accounts reflect what has left the building.

Tracking where customers look

Tracking numbers from each shipment pass to Magento, BigCommerce or your CRM, so customers and service staff can follow a parcel without asking the warehouse.

Third-party shipments closed off

When a 3PL or supplier ships an order outside ShipStation, Zynk marks it as shipped there too. ShipStation can then notify the selling channel, and the order leaves your awaiting shipment queue.

Product data kept accurate

Product details such as weights and dimensions update in ShipStation from your ERP, so rates and labels use correct values. Products, stores, carriers and tags also export for mapping and reporting.

No-code or low-code

Zynk Autopilot gives you a no-code route for common ShipStation connections, and Zynk Workflow adds low-code steps when despatch rules get more involved, such as routing orders by store or tag.

The problem

Why integrate ShipStation?

ShipStation makes labelling quick, but orders still have to reach it and despatch details still have to travel back. Without integration, staff copy addresses out of the accounts, paste tracking numbers into the store and mark orders despatched in Sage by hand. Every manual step risks a late parcel or a lost tracking number.

Without integration

  • Sales orders copied from Sage into ShipStation by hand
  • Orders despatched in ShipStation but still open in the accounts
  • Customers emailing to ask where their parcel is
  • Orders shipped by a 3PL left in the awaiting shipment list
  • Labels bought at the wrong rate because product weights are out of date

With Zynk

  • Orders import into ShipStation as soon as they are ready to ship
  • Shipments export so Sage marks the order as despatched
  • Tracking numbers pass to the store or CRM automatically
  • Orders shipped elsewhere are marked as shipped in ShipStation
  • Product details update in ShipStation from your ERP

How it works

How the ShipStation integration works

  1. Step 1: Generate API keys

The ShipStation account owner creates an API key and secret under Settings, Account, API Settings, and Zynk uses them alongside the connection to your accounts or store.

  2. Step 2: Map stores, carriers and services

Stores, carriers and tags export from ShipStation so orders can be routed correctly, and we map shipping methods, SKUs and order numbers between ShipStation and the source system.

  3. Step 3: Ship test orders

A few real orders go through end to end. We check that each appears in ShipStation correctly, that labels print, and that despatch and tracking land back in Sage or the store.

  4. Step 4: Automate the loop

Orders then import on a short schedule and shipments export as labels are created, with alerts for anything that fails, such as an order with an incomplete address.

ShipStation integration FAQs

Which ShipStation plans support API integration?
ShipStation provides API access on selected plans, and only the account owner can generate API keys. Check your plan in ShipStation's help centre before starting. Our team confirms access during setup so the connection works first time.
Will ShipStation mark orders as despatched in Sage?
Yes. Sales orders export from Sage 50 or Sage 200 into ShipStation, and once the label is created Zynk updates Sage. Orders in Sage 50 are marked as despatched and Sage 200 receives a goods despatched note, so stock and order status match reality.
What is the difference between shipments and fulfilments in ShipStation?
Shipments are created when a label is bought in ShipStation. Fulfilments record orders marked as shipped without a ShipStation label, for example when a 3PL ships them. Zynk can export both, so your accounts see every despatched order however it left.
Can Zynk send ShipStation tracking numbers to my online store?
Yes. Shipment details, including carrier and tracking number, export from ShipStation and import into Magento, BigCommerce or Shopify as shipments or fulfilments. The store can then complete the order and send its own shipping confirmation to the customer.
Can orders shipped by a 3PL be marked as shipped in ShipStation?
Yes. Mark Orders As Shipped closes an order in ShipStation without buying a label, using the carrier and tracking details from your 3PL or supplier. ShipStation can then notify the selling channel, keeping each store up to date.
Does the ShipStation integration use Autopilot or Workflow?
Either. Autopilot is Zynk's no-code option for straightforward ShipStation connections. Workflow, the low-code platform, suits setups with extra rules, such as routing by store or tag, combining 3PL and in-house despatch, or updating several systems at once.
Can product details be updated in ShipStation automatically?
Yes. Zynk can update ShipStation products from your ERP or accounting system, for example weights and dimensions, so rate comparisons and labels use accurate data. Products can also export from ShipStation to check what it holds against your item master.
