Order processing automation: from checkout to accounts without re-keying

Pull orders from every sales channel straight into your accounting or ERP system, then send stock, despatch and tracking updates back, automatically.

Busy fulfilment warehouse with racking, picking crates and pallets of stock

Every order you take has to end up in more than one place. It needs to reach the warehouse so it can be picked, your accounting or ERP system so it can be invoiced, and back to the customer as a despatch confirmation with tracking. If someone is copying those orders between screens, the business can only grow as fast as they can type.

Order processing automation takes that manual step out, so orders move from the point of sale to your back office on their own.

What is order processing automation?

Order processing automation is the automatic transfer of sales orders, and everything that follows them, between the systems involved in selling and fulfilling. A typical flow connects:

Orders are collected from each channel, checked, and created in your back-office system with the right customer, products, prices, tax and delivery details. Updates such as despatch status and tracking numbers then flow back the other way.

Why manual order entry holds you back

Typing orders into Sage or another finance system works for a handful a day. As volumes rise, the cost shows up quickly:

  • Slow fulfilment. Orders wait in an inbox or a spreadsheet until someone has time to key them in, so goods leave later than they should.
  • Keying errors. Wrong quantities, product codes or addresses lead to mis-picks, returns and credit notes.
  • Peak-time bottlenecks. Sales, promotions and seasonal spikes mean overtime or temporary staff just to keep up with data entry.
  • No single view. Customer service can't see where an order is without checking several systems.
  • Stock that doesn't add up. If orders aren't recorded promptly, stock levels drift and you risk overselling.

How order processing automation works with Zynk

Zynk is a low-code integration platform, so you mostly configure the flow rather than build it. A typical setup looks like this:

  1. Connect your channels and back office. Choose where orders come from and which system they should be created in, for example Shopify into Sage 200.
  2. Map customers, products and tax. Match SKUs, customer accounts, VAT codes, shipping charges and discounts so every order lands correctly.
  3. Set your rules. Decide whether orders arrive as sales orders or invoices, how new customers are created and how payments are recorded.
  4. Close the loop. Send despatch confirmations, tracking numbers and stock levels back to each channel once the order has shipped.
  5. Monitor and fix. Every transfer is logged, and any order that can't be processed is flagged so it can be corrected rather than lost.

Because the same platform also handles ecommerce integration, shipping and marketplace connections, order automation usually becomes part of a wider order-to-cash workflow rather than a standalone tool.

What to look for in order processing software

When comparing options, check that the software can:

  • Connect to every channel you sell through, including marketplaces and B2B, not just your main web store
  • Create orders in your accounting or ERP system with the detail your finance team needs
  • Handle new and existing customers, multiple currencies and VAT correctly
  • Send despatch and tracking updates back to the channel automatically
  • Let you choose how often orders sync, from near real time to a set schedule
  • Give you clear logs and alerts, so a failed order never goes unnoticed
  • Grow with you as you add channels, warehouses or systems later

Get started with a template

If your systems are already on our list, a ready-made template is the quickest route. Popular order templates include Shopify to Sage 200, Shopify to Sage 50, WooCommerce to Sage 200, WooCommerce to Sage 50, Magento to Sage 200, Linnworks to Sage 50, Mintsoft to Sage 50 and ShipStation to Sage 200.
